This Privacy Policy explains how Dashub handles personal information when people visit dashub.co.nz, register for a demonstration, use a Dashub product, communicate with us or are recorded in a customer-managed Dashub workspace. It should be read with the Dashub Terms and Conditions and any product-specific privacy notice.
1 Who we are
Dashub Limited is the agency responsible for personal information it collects for its own purposes, such as account administration, trial management, billing, security, support and website operation.
When a Dashub customer enters information about its own contacts, customers, staff, properties, vehicles or operations, that customer generally decides why the information is collected and used. Dashub processes it as the customer’s service provider. Requests about that information should usually be made to the relevant customer first.
2 Information we collect
Information you provide
- identity and contact information, including name, company, mobile number and email address;
- account and authentication information, including securely hashed passwords and security events;
- billing, subscription and transaction information, excluding full payment-card details handled by payment providers;
- support enquiries, feedback, survey responses and communications with us;
- product configuration, records, files and other content entered into paid Dashub workspaces; and
- consents, preferences and records of acceptance of legal terms.
Information collected automatically
- device, browser, operating-system, IP-address and approximate-location information;
- login, session, security, diagnostic and audit logs;
- pages, modules and features used, actions performed and performance information; and
- cookies and similar technologies needed for authentication, security, preferences and permitted analytics.
Information received from others
With appropriate authority, we may receive information from an organisation that invited you, a connected email, calendar, task, property, vehicle or communications service, a payment provider, a referral source, or a customer using Dashub. Where the Privacy Act 2020 requires notice for information collected indirectly, including under information privacy principle 3A, Dashub or the relevant customer will provide that notice unless an exception applies.
3 Why we collect and use information
- create, verify and administer accounts, organisations and three-day Demo trials;
- provide, personalise, support, secure and improve Dashub products;
- process subscriptions, payments, renewals and account communications;
- operate authorised integrations and carry out customer instructions;
- detect misuse, prevent fraud, troubleshoot faults and protect people, data and systems;
- measure product use using aggregated or de-identified information;
- contact trial leads and customers about the requested service, subject to communication preferences and applicable law;
- meet legal, regulatory, tax, accounting and dispute-resolution obligations; and
- establish, exercise or defend legal claims.
We collect only information that is reasonably necessary for a lawful function or activity. If required information is not provided, we may be unable to create an account, verify a trial, supply a product or respond to a request.
4 Demo trial information
To provide a Demo, we collect the registrant’s full name, company or agency, mobile number, email address, password hash, verification status, trial dates, login information, legal-consent record and a limited usage summary. We send verified-trial lead notifications to aaron@dashub.co.nz.
Each Demo uses fictional sample data. Users must not enter real personal, confidential or production information. After the 72-hour trial expires, we delete the temporary operational Demo records through our cleanup process. We retain the lead details, consent record, trial status and aggregated usage summary for the periods described below. We do not retain Demo message bodies or record contents as sales analytics after cleanup.
5 Customer managed information
Dashub customers may use the products to manage personal information about other people. The customer is responsible for having authority to collect and use that information, giving required privacy notices, keeping it accurate, controlling user access and responding to privacy requests. Dashub processes that information to supply the service and according to the customer’s instructions, our agreement and applicable law.
Dashub does not sell Customer Data. We do not use identifiable Customer Data to advertise unrelated products to the people recorded in a customer workspace.
6 When we share information
We may disclose personal information only where reasonably necessary to:
- the customer or organisation responsible for the relevant workspace;
- hosting, database, storage, communications, payment, analytics, security and support providers working for us;
- a third-party integration that an authorised user chooses to connect;
- professional advisers, insurers, auditors and prospective purchasers under confidentiality protections;
- law-enforcement, regulatory, court or government bodies where required or authorised by law; or
- another person with consent or where disclosure is otherwise permitted under the Privacy Act 2020.
Service providers may process information outside New Zealand. Before disclosing personal information overseas, we take reasonable steps required by information privacy principle 12, such as using providers subject to comparable safeguards or binding contractual protections, unless another lawful basis applies.
7 Cookies and analytics
We use essential cookies for login, security, session continuity and preferences. We may use limited analytics to understand performance and feature use. Where consent is required, optional analytics or marketing cookies will not be used until consent is given. Browser settings may block cookies, but blocking essential cookies may prevent the service from working.
8 Marketing communications
We may contact a person about a requested Demo, account or service. We send promotional electronic messages only where we have consent or another lawful basis, identify the sender and provide a working unsubscribe method. Unsubscribing from marketing does not stop essential security, billing, trial or service messages.
9 Security
We use reasonable technical and organisational measures appropriate to the nature of the information, including access controls, secure authentication, encryption in transit, tenant separation, logging, provider controls, backups and staff or contractor confidentiality obligations. No internet service can guarantee absolute security.
If a privacy breach has caused or is likely to cause serious harm, we will notify the Office of the Privacy Commissioner and affected people as soon as reasonably practicable, as required by the Privacy Act 2020. Customers must promptly report suspected incidents affecting their Dashub workspace.
10 Retention and deletion
We retain personal information only for as long as reasonably needed for the purpose for which it was collected, to provide contracted export access, meet legal obligations, resolve disputes and maintain security records.
Active customer workspace information is retained for the subscription term. Unless a different order or legal requirement applies, customers may request an export during the subscription and for 30 days after termination, after which operational data may be deleted. Encrypted backups expire through the normal backup cycle and are not restored except for recovery or legal needs.
Expired Demo operational data is scheduled for deletion after 72 hours. Trial lead and consent information may be retained for up to 24 months after the last meaningful interaction, unless the person asks us to delete it earlier and no legal reason requires retention. Aggregated information that no longer identifies a person may be retained longer.
Billing, tax, fraud-prevention, security and legal records may be retained for the period required by law or reasonably necessary to protect legal rights.
11 Access and correction
You may ask whether we hold personal information about you and request access to or correction of it. Contact info@dashub.co.nz with enough detail for us to identify the information. We may need to verify your identity. We will respond within the time required by the Privacy Act 2020 and will explain any lawful refusal.
If the information is held in a customer-managed workspace, we may refer the request to that customer or assist the customer to respond. You may complain to the Office of the Privacy Commissioner at privacy.org.nz if a concern is not resolved.
12 Your choices
- update account information through available settings or by contacting us;
- unsubscribe from promotional email using the message link or by contacting us;
- request closure of an account, subject to organisation controls and legal retention requirements;
- disconnect optional integrations through product settings; and
- ask questions, request access or correction, or raise a privacy complaint.
13 Children
Dashub accounts and Demo trials are intended for people aged 18 or over. Our products may contain information about younger people where an authorised customer lawfully records it, but we do not knowingly invite children to create accounts.
14 Changes to this Policy
We may update this Policy to reflect product, legal or operational changes. We will publish the revised version and effective date. We will provide additional notice where a change materially affects how we use personal information.
